The order that works
- Name the job. “Follow up new leads within an hour” is a job. “Use AI in marketing” is not.
- Find the source of truth. The CRM, the help articles, the ad account, the rankings. If it is only in someone’s head, write it down first.
- Write the refusal rule. What the agent must hand to a person: price changes, complaints, anything it cannot cite.
- Run it on real items for a week with a person checking every output. Then loosen the check on the cases that were consistently right.
- Add a second job only after the first one is dull. Dull means it works and nobody is firefighting it.

What to ignore in the first month
Ignore a custom model. You do not have the data, and you do not need one to follow up a lead. Ignore a committee that has to approve the concept of AI before anyone maps the inbox. Ignore a vendor who cannot show where the answer came from.
Also ignore the urge to publish AI content at volume. If the goal is rankings in Norway, the page still has to match the query and be checked by a person. That is covered in AI and SEO.
Money and the first conversation

You need one job and an owner. A strategy document that does not name the inbox, the CRM or the page is not a start.
What if the data is messy?
Start with the cleanest queue you have, usually new leads or the ten questions support already answers. Do not boil the whole archive.
Who has to be involved?
The person who does the job today, and someone who can connect the tool. A leadership sponsor helps. A room of spectators does not.
